Zoom Recordings and Transcript Retention Policy

The California Chancellor’s Office TechConnect group, which manages Zoom for our district, is implementing a new Zoom Recordings and Transcript Retention Policy effective October 2, 2025.

What You Should Know

  • All recordings and transcripts created before July 31, 2024, will be deleted starting October 2.
  • Deleted items will stay in your Zoom trash folder for 30 days before being permanently removed.
  • Going forward, recordings will be deleted every July 1, keeping only the latest 12 months unless our district adopts its own policy.

Example schedule:

  • July 1, 2026 – Recordings from Aug 1, 2024 – June 30, 2025 deleted.
  • July 1, 2027 – Recordings from July 1, 2025 – June 30, 2026 deleted.
  • And so on…

What You Should Do

Before Oct 2, 2025:

  • Step 1. Log into your district Zoom account.
  • Step 2. Download any recordings and transcripts you need to keep.
  • Step 3. Save them to your computer, external drive, or district-issued OneDrive (recommended).
